Creative vision is critical. So is strategy, marketing, and messaging. But none of it works without a strong operational engine at its core.
We’re currently seeking a part-time and remote professional who combines both behind-the-scenes and out-front vibes for someone who thrives in the details, loves smoothing out systems, and takes real pride in making things work.
You're someone who doesn't just wait for instructions, because you’re not a virtual assistant—you bring boss energy: take initiative, anticipate needs, and make the whole operation feel like it runs itself (even though we all know it doesn't).
What you'll be doing:
You’ll be supporting Terri Trespicio, a writer, speaker, brand advisor, and author who runs a creative business built around storytelling, thought leadership, and helping individuals and companies find their voice. This includes live and virtual workshops, memberships, digital programs, speaking engagements, and creative content.
You’ll be part of a tiny, tight-knit team of contractors, including: program director for The Studio, social media coordinator, web developer, and our current fractional ops manager — the person you’ll talk to the most next to Terri herself.
This is not a creative role per se—you won’t be expected to write copy or lead strategy—but you’ll be working closely with a small, collaborative, and kind team that loves what we do.

30-day outcomes
Demonstrate a high level of attention to detail and to the quality of your work.
Demonstrate a high level of resourcefulness in finding answers and solving problems on your own and asking for constructive feedback.
Be comfortable with accessing and using all our tech platforms including Kit (ConvertKit), Wordpress, Canva, Google Drive, Asana, Slack, Typeform, Riverside, and others.
Be totally up to speed on the Brand and Marketing strategy documentation, the current marketing plan and all active marketing projects in Asana.
Be familiar with the mission/vision, products, systems, and team members.
Have a draft of your own daily and weekly work checklist, and a reliable schedule of your working hours.
Based on 30 days experience, be ready to provide at least one idea for improving or streamlining the way you accomplish the work delegated to you.
Take full responsibility for the day-to-day operations.
60-day outcomes
Consistently demonstrate autonomy and assertiveness in proactively managing your own work and time and staying clear and focused on high priorities.
Develop enough familiarity with the brand voice to interface and represent the company, and Terri’s tone and values.
Suggest at least three more improvements via using better systems, or better tools - including the use of AI and AI-based tools and platforms.
Responsibilities
Here’s what you’ll take on in this 5~10-hour/week role:
Required skills
- Facility and comfort using email marketing software like Kit (which we use) as well as segmented email marketing, tagging, automations
- Experience with and an understanding of the concepts of email and affiliate marketing, digital / online course and product offerings, sales funnels, social media
- Familiarity with project management software (bonus points if you’ve used Asana, which we use)
- Familiarity with content management systems like Wordpress; bonus points if you’ve used Access Ally for online sales management
- Comfortable using appointment software (we use Acuity), and some basic facility with Canva (you don’t need to be a full-tilt designer)
- BONUS! Eagle-eyed editor/copyeditor/reader who can spot confusing areas or errors and make suggestions for clarity
Implementation & Systems
- Help take ideas from concept to execution, across events, programs, and content
- Track deadlines, deliverables, and tasks in Asana
- Create or update tags, automations, and products inside ConvertKit and AccessAlly
- Manage Zoom logistics, upload and organize recordings in Dropbox
- Coordinate fulfillment for things like books, gifts, or follow-ups
- Quality check content and user experience (links, pages, flow)
Client & Team Support
- Be in regular and direct touch with Terri on a daily basis via Voxer, Slack
- Available for weekly staff meetings and a 1:1 with Terri each week, and other strategy/project meetings as needed.
- Respond to customer service requests (login help, refunds, account support, etc.) with warmth and clarity
- Interface with clients and prospects for consulting and speaking events
- Schedule calls, support the calendar, and manage key meeting logistics
- Be a touchpoint for affiliate partners—sending links, tracking payments
- Support internal team with access, documentation, and info-sharing

COMPENSATION & DETAILS
Monthly retainer that’s competitive with freelance rates for this work and commensurate with experience
Estimated 5–10 hours/week (to start, and there are growth opportunities)
Fully remote; must be available for periodic team meetings during ET hours
Open to U.S.-based contractors only
This role is a 1099 contractor position
